With Total Control Mode and configurable booking settings for clients, you can manage your calendar however you want - from 100% in your hands to opening it up for client booking and changes.


No matter how you set your booking settings, your clients get a great digital experience using the CoachFirst app and portal to check their schedules, receive service reminders, check their remaining credits, and view their order history.

Turning On Total Control Mode


  • Click on the icon for the settings menu on the lower right of your screen
  • Click on Client Control Settings
  • To turn Total Control Mode on, simply turn that toggle on (it will turn red when on)


How Total Control Mode Works


In Total Control Mode:

  • Clients will not be able to book, reschedule, or cancel a 1:1
  • Clients will not be able to cancel a class that they are registered for
  • All new Classes and Camps that are added to your calendar will default to Private, meaning only a coach can see and book clients for them
  • Note: any Classes or Camps that are already on your calendar will retain the privacy setting you chose when scheduling them; you can adjust the privacy setting for any of those services directly from the calendar


Adjusting Client Booking Settings


When you turn Total Control Mode off, you can customize your client booking controls to fit your business in these ways:
  • Make your classes public, keep control of your 1:1 bookings (great combo of automating where you can while keeping 100% control of your calendar)
  • Go for full automation by turning on public booking for 1:1s and all of your services
  • Create predictability in your week by controlling if and when clients can change an existing booking for 1:1s and Classes

To use the full range of controls for client booking, use the Coach Portal on a laptop or tablet (see below)

In the Coach Portal, you can easily configure these additional settings:


1:1 Services

  • Turning coach availability on/off for 1:1 booking in each Location
  • Selecting which 1:1 services can be publicly booked for each coach
  • Pro tip: to make a Coach publicly available for 1:1 bookings, make these updates to your settings:
    1. Turn 1:1 booking on for the Company
    2. Turn booking on for the Coach in the Location
    3. Turn booking on for the Coach for the 1:1 service
    4. You will also want to check the working hours schedule for the Coach so you know when they will show as available for booking


Classes & Camps

  • Setting the privacy default for each Class and Camp
    • These can always be updated when scheduling a specific service on the calendar
