Step-by-Step Instructions

Automated email communications are a great way to stay connected with your clients, all without raising a finger!

  • Reminder emails reduce no-shows
  • Zero credit emails tells your clients when it's time to buy another package
  • Automated emails for rescheduled and cancelled services keep your clients in the loop
Company Email Settings

  1. In the menu at the left, navigate to Settings → Company Settings → Client E-mail Settings
  2. Turn Locations on/off; for any Location turned on, the setting below will be in effect
  3. Turn on/off for each category of service: 1:1s, Classes, and Camps
  4. Turn on/off emails for specific services and types of emails
  5. Set the timing for reminder emails


Notes:

  • For Booking Confirmation emails, those can be turned on/off for both the Client and the Coach
  • The Zero Credit Reminder email is sent when a service is booked using the last credit on a multi-credit package
  • The Zero Credit Reminder mail can be sent to both the Client and the Coach, so both are aware when it's time for the Client to reload


Client Email Settings
  1. In the menu at the left, navigate to Settings → Client Settings → Company E-mail Settings
  2. Choose a Location from the drop down menu to see the Clients attached to that Location
  3. By default, all Clients are initially set to follow the Company Email Settings
  4. To customize the email settings for a Client, in the Email Settings columns change the drop-down to "Custom for Client"
  5. The toggles to turn individual emails on/off will then appear for that Client
  6. If you want to have the Client's emails follow the Company Email Settings again, simply change the drop-down for that Client to "Company Settings"


Notes:

  • The Client Email Settings override the Company Email Settings; for example:
    • If your Company Email Settings are turned on for reminders for a Group Fitness Class, and turned off for a Client, that client will not receive reminders
  • If a Client is connected to multiple Locations, you will need to change the email settings for that Client in each Location using the drop-down box at the top of the screen
  • If a Client has "Yes" displayed in the Opt-Out columns, that means that they have unsubscribed from emails sent by CoachFirst; once a Client opts out of emails, they can not be turned back on
